IT Access for large intake (August & February)



In order for NHS Tayside to manage IT access for the large numbers of trainees who will join at August and February every year, e-Health IT Department and the Systems Access Management Team need to take a different approach at this time of year.

If you are joining at a large intake time such as August and February prior to your commencement date and through the appointment process in NHS Tayside the e-Health Team and Systems Access Management Team work closely with colleagues in Medical Staffing (HR) to ensure you will have basic IT Account access but will also extend this to include some generic systems which you may be required to use. These are the generic clinical systems.
ICE (Integrated Clinical Environment)

ICE provides users of diagnostics services a means to electronically order tests and view reports. The system not only enables new ways of working and address many clinical governance issues, it also provide opportunities to enable greater degrees of interaction between the Diagnostics Group and users to enable delivery of more effective services to our patients.
Current features include order tracking, embedded decision aides, cumulative and graphical reporting. The system will be tailored over coming years to take advantage of additional functionality, including report filing which will allow paper reporting to be switched off over the organisation.

PACS (Picture Archiving and Communication System)

Picture viewing at diagnostic, reporting, consulting and remote workstations
Archiving images using short or long-term storage devices
Communications using local or wide area networks or public communication services
Systems that include modality interfaces, gateways and departmental information systems, offering one integrated system to the user

Carestream PACS system is used nationally in Scotland, this means patient images can be viewed from the National Archive at any hospital in Scotland that runs PACS. The system is used for diagnostic purposes but also by clinicians for viewing patient images.

EDD (Electronic Discharge Documents)

During a patient’s admission, information is gathered during the inpatient episode which is be recorded within the Electronic Discharge Documents (EDD) System. EDD creates an Electronic Discharge Document (Discharge Letter) which is sent electronically to the patients GP following discharge.

When all appropriate data has been recorded, including discharge medication required, a clinician will action Clinical Sign-Off electronically. If medication has been prescribed, the discharge document will then be routed to the Pharmacy Team electronically and placed in a queue for action. Pharmacy staff check and verify details of required discharge medication electronically, and if necessary update the record and dispense.

Following Pharmacy Sign-Off, EDD sends an electronic discharge letter to the patients GP Practice confirming the date of discharge, discharge medications issued and any data recorded by clinical staff at ward level relating to the patients stay in hospital.

TrakCare

TrakCare is a patient administration system that provides core patient administrative and management functionality. It also has the capability to deliver an electronic patient record. TrakCare is currently the national patient management system solution for Scotland and is in use in eight other health boards.

Some of the key benefits of TrakCare are;
TrakCare provides core patient administrative and management functionality.
The Emergency Department and Maternity workflows will be merged within the patient administration system allowing clinical information to be shared where previously it was held in different systems.
It provides access to a richer picture of a patients current and past medical history with a single view which will improve patient care and safety.
It has the capability to deliver an electronic patient record (EPR) and paves the way for further enhancement.
It  allows the long-term vision to implement TrakCare's EPR functionality alongside the Clinical Portal and EMIS Web to move towards a complete electronic record. 

Once you have access to Staffnet NHS Tayside's intranet you should always check 'My Customer Portal' to check up on the systems you have been registered on.
