Gaining Access to IT systems quickly

NHS Mail

IT Access
NHS Tayside Service Desk can be contacted on 01382 424444 or extension 70444, when calling from an NHS Tayside site.

In order to gain swift access to IT systems within NHS Tayside there are some actions that will need to be completed by yourself. Please follow the guidance below to complete this as quickly and smoothly as possible.

If you have an NHS Mail account prior to joining NHS Tayside, you will need to have the account transferred to NHS Tayside. In order to do so, please ensure to follow from point 1 below. If this is not the case, please start from point 2 below.

  1. Contact your current Board’s IT department and ask for your NHSMail account to be marked as a ‘leaver’.
  2. When you arrive in NHS Tayside, on your first day you must call NHS Tayside IT Service Desk. USE OPTION 1 to get straight through – note this is only to be used for this event or major IT incidents.
  3. Inform them you need to activate your accounts and you require your nhs.net account to be marked as a ‘joiner’. The IT Service Desk team will take you through security and you will receive your log on credentials.
  4. Find a pc and log in as soon as possible; if there is a problem call the IT Service Desk back straight away.

Staffnet Directory

You must always keep your StaffNet directory details up to date. If you do not maintain this you will encounter delays in any applications you make for system access. To update your directory details, open StaffNet and login, click on Directories along top tool bar, click login in the middle screen, and click Change Details.

Basic IT Access

Prior to your commencement and through the appointment process in NHS Tayside the e-Health team and the Systems Access Management Team work closely with our colleagues in Medical Staffing (HR) to ensure you have basic IT access. All new employees require an LDAP and Active Directory Account to gain access to the PC's and subsequent access to relevant systems. When you commence gain your password by calling the IT Service Desk on 01382 424444.

The initial access which will be set up for you is detailed below for your information.

  1. LDAP Account
An LDAP account is for directory entry and to enable access to further systems (dependant on application). The LDAP Account is more commonly referred to as your Staffnet username and password. You can use this to access a number of IT Applications, dependant on your role within the organistation. Having this account also means that you are able to register for an NHS email account if you don't already have one.

  2. Active Directory Account for PC access
An Active Directory Account is required by all staff to be able to login to a PC within NHS Tayside.

  3. Clinical Portal Access (for clinical staff only)
The Clinical Portal is the entry to NHS Tayside's electronic record and displays information from key clinical systems.

Access to Speciality Specific IT Systems

You will most likely find when you commence your post that your department will have further specific systems they will want you to have access to. It is their responsibility to arrange this for you and advise you which systems you need to access. Provided you have gone through the appointment process with Medical Staffing (HR) your LDAP and Active Directory Account should be in place.

To check what access you already have, go to StaffNet>IT Service Desk>My Customer Portal. The list on the right hand side will display all the systems to which you have access.

All of the systems that you can apply for can be found on the IT Service Desk>Account / System Access page.

If you are having any access problems you should contact the NHS Tayside Helpdesk on 01382 424444 or extension 70444 when calling from an NHS Tayside site.
